Position Description:

Rainmakers Strategic Solutions, LLC, a certified SBA 8(a) and Economically Disadvantaged Women-Owned Small Business (EDWOSB), is expanding capabilities in the government healthcare space to support an expanding portfolio of federal healthcare clients.
We are seeking a Virtual Event Production Intern to support the planning and execution of high-quality virtual and hybrid events, including webinars, trainings, educational sessions, stakeholder meetings, and focus groups. This internship offers hands-on experience in virtual event production, learning design support, and government meetings while working closely with experienced facilitators, and project teams.
The intern will support behind-the-scenes event operations, help ensure smooth session flow, assist with participant experience, and gain practical exposure to professional virtual event production.
Key Responsibilities:
- Assist event leads in preparing run-of-show documents, agendas and production checklists
- Support speaker and facilitator preparation, including scheduling rehearsals and tech checks
- Help create and send event invitations, reminders, and registration communications
- Draft clear participant-facing materials such as access instructions, agendas, and support guidance
- Support setup and configuration of virtual platforms (e.g., Zoom or Microsoft Teams), including basic settings, roles, and recordings
- Assist with live event production by monitoring chat, Q&A, polls, and participant engagement
- Help manage breakout rooms, including assignments, timekeeping, and transitions back to the main session
- Provide real-time technical support to participants and presenters, escalating issues as needed
- Observe and learn virtual facilitation and engagement best practices
- Assist with post-event tasks such as organizing recordings, attendance lists, polls/Q&A exports, and follow-up emails
- Contribute to documentation of lessons learned and updates to templates or playbooks
Position Requirements:
Education:
(Degree, area(s) of study) Currently pursuing or recently completed a bachelor’s degree in communications, Marketing, Event Management, Instructional Design/Learning, Public Health, or a related field
Relevant Knowledge:
- Strong organizational skills and attention to detail
- Clear written and verbal communication skills
- Comfort learning new technology and following technical instructions
- Ability to stay calm, professional, and helpful in live virtual environments
- Interested in virtual events, online learning, or government meetings
- Ability to work collaboratively with a remote team
Years of Experience:
- No prior professional event production experience required
- Experience with virtual meetings, webinars, student organizations, or campus events is a plus
Software Proficiency:
- Familiarity with Zoom and/or Microsoft Teams preferred
- General comfort using email, Microsoft Office (Word, Outlook, PowerPoint). And similar tools
Availability:
- Ability to work a consistent schedule during business hours
- Flexibility to support occasional early morning, evening, or extended sessions based on event needs
